Logistics Setup for Selling on Amazon Spain

Fulfillment hub selection and transit times for Amazon Spain
Routing inventory to fulfillment hubs near Madrid or Barcelona typically shortens domestic transit times within the Iberian Peninsula and reduces last-mile costs by up to several euros per parcel. Sellers using FBA must plan inbound shipments with Amazon’s warehouse assignments in mind: consolidated pallets destined for a single fulfillment center differ operationally from split shipments routed across multiple centers, which affects both storage fees and inventory availability.
FBA vs FBM: operational tradeoffs
Choosing between Fulfillment by Amazon (FBA) and Fulfillment by Merchant (FBM) is a primary logistical decision that impacts cost structure, delivery SLA, and return handling.
| Criterion | FBA | FBM |
|---|---|---|
| Cost structure | Storage + fulfillment fees; variable by size and season | Carrier and handling costs borne by seller |
| Delivery speed | Prime-eligible, faster last-mile | Dependent on chosen carrier and contract |
| Returns handling | Amazon-managed returns and customer service | Seller-managed returns policies and processing |
| Scalability | High; leverages Amazon network | Scalable if third-party logistics (3PL) used |
| Inventory control | Less direct control; strict prep and labeling rules | Full control over stock and packaging |
When to prefer each model
- Choose FBA for high turnover SKUs, Prime exposure, and simplified returns handling.
- Choose FBM when margins are tight on bulky items, when unique packaging is necessary, or when local 3PL relationships lower costs.
Customs, VAT and registration requirements for Spain
Operational compliance in Spain hinges on correct tax and customs setup. Sellers storing goods inside Spain or elsewhere in the EU must register for a local VAT (IVA) number and comply with periodic filings. Since July 2021 EU reforms, the distance-selling thresholds were removed and the One‑Stop Shop (OSS) mechanism became the standard for remote sales within the EU, while the Import One‑Stop Shop (IOSS) simplifies VAT collection for imports up to €150.
Key regulatory and customs items to consider:
- EORI number for customs operations when goods cross EU borders.
- IOSS registration to collect and remit VAT at the point of sale for low‑value imports (≤ €150).
- Customs declarations for parcels over €150 or for non-IOSS shipments, with accurate HS codes and value declarations.
- Documentation: commercial invoice, packing list, and any required certificates of origin or conformity.
Practical compliance tips
Keep SKU-level HS codes and declared values consistent across marketplaces and carriers. Misdeclaration leads to delays and fines. If inventory is stored in Spanish warehouses, register for Spanish VAT immediately to avoid retroactive penalties.
Inventory optimization and network planning
Efficient inventory planning reduces stockouts and unnecessary storage fees. For sellers on Amazon Spain, implement demand forecasting that accounts for seasonality (local holidays, summer months, Black Friday) and promotional spikes.
- Use rolling forecasts with at least a 12-week horizon for fast-moving SKUs.
- Set safety stock based on lead time variability from your suppliers and transit corridors.
- Differentiate replenishment policies for FBA vs. FBM inventory pools.
| Metric | Target | Why it matters |
|---|---|---|
| Stock availability | >95% for top SKUs | Affects Buy Box and search ranking |
| Days of inventory | 30–60 days typical | Balance between storage fees and stockouts |
| Inbound lead time | Measured per supplier | Drives reorder points and safety stock |
Cross-docking and multi-node distribution
For sellers with high SKU counts or bulky goods, consider a hybrid model: use a 3PL for regional cross-docking and FBA for fast movers. This reduces long-term storage fees inside Amazon warehouses while maintaining fast delivery options.
Last-mile delivery, returns and carrier selection in Spain
Carrier choice directly influences customer experience. National and regional carriers in Spain provide differing service levels, delivery windows, and return handling capabilities. Consider contract rates for volume shipping, access to parcel lockers, and tracking integration with Amazon.
- Prioritize carriers with robust tracking APIs to populate Amazon order pages automatically.
- Negotiate volumetric and weight-based rates for mixed shipments; bulky items often benefit from dedicated freight contracts.
- Design a returns network: local drop-off points, preprinted return labels, or centralized returns centers.
Labeling, packaging and FBA prep requirements
Amazon’s prep and labeling rules are strict; non-compliant units can incur processing fees or be rejected on receipt. Standardize packaging to minimize dimensional weight penalties and protect goods in transit. For hazardous or regulated items, verify permitted categories for storage in Spanish fulfillment centers.
