Reducing Order Fulfillment Errors Across Belgium
2026/3/31 · 1180 views
Belgian distribution centers that do not achieve near-universal barcode capture during the pick-and-pack stage experience a measurable rise in mis-picks, longer return cycles, and increased freight spend on corrective shipments. Implementing layered controls — barcode scanning, real-time KPIs, and standardized SOPs — directly lowers on‑dock dwell time and reduces cross‑dock recirculation of incorrectly billed shipments.
Primary drivers of order fulfillment errors
Understanding error causation is essential for operational fixes. Common root causes in Belgium’s warehousing and distribution networks include:
- Poor barcode coverage on SKUs, carton labels, or pallets, which prevents reliable automated verification.
- Inconsistent standard operating procedures (SOPs) between shifts and sites, producing variable accuracy.
- Insufficient staff training for exception handling, returns processing, and handheld scanning ergonomics.
- Weak KPI monitoring that fails to detect deteriorating pick accuracy or packing defects in time.
- Poor integration between WMS, TMS, and carrier booking systems, causing mismatches in shipment documentation.
How each driver impacts logistics and transport costs
| Driver | Immediate logistics impact | Typical mitigation |
|---|---|---|
| Poor barcode coverage | Increased manual checks, slower throughput, more returns and re‑shipments | Full SKU relabeling, barcode quality controls, two‑step scan confirmation |
| Inconsistent SOPs | Variable pick accuracy across shifts, rework, and audit failures | SOP harmonization, visual work instructions, and shift handover protocols |
| Insufficient training | Higher human error rates, poor exception handling, and damaged goods | Regular hands‑on training, competency tests, and coaching |
| Weak KPIs | Delayed detection of declining performance, missed SLAs | Real‑time dashboards, root‑cause analytics, and daily scorecards |
| System integration gaps | Paperwork mismatches, customs delays for cross‑border consignments | API integrations, EDI upgrades, and reconciliation routines |
Concrete measures to reduce fulfillment errors
Operations managers should sequence technical and process interventions to maximize ROI. Recommended actions:
- Complete barcode coverage audit: Map all active SKUs, cartons and pallets; verify label placement and print quality.
- Deploy handheld scanners and fixed readers: Use pick‑to‑light, zone scanners, or mobile devices with 2D scanning to validate picks at source.
- Standardize SOPs: Create step‑by‑step pick, pack, and QC procedures with visual work instructions and sign‑offs for exception flows.
- Implement real‑time KPIs: Track pick accuracy, packing defects, dwell time, and cost per corrected shipment on dashboards.
- Regular training cycles: Combine classroom sessions with on‑floor shadowing and periodic competency tests tied to performance incentives.
- Introduce sampling and cycle counts: Use targeted sampling for high‑risk SKUs and cycle count frequency linked to velocity and error history.
- Integrate WMS and TMS: Ensure shipment labels, carrier bookings, and customs documentation are reconciled before dispatch.
Process controls and quality gates
Adding quality gates reduces error recovery costs. Examples:
- Pack station verification: scan box and order manifest before sealing.
- Outbound scan at dock door linked to carrier manifest.
- Automated hold for orders with mismatched weight or item counts.
Training, human factors, and change management
Technology alone is insufficient. Training must emphasize ergonomics, error recognition, and the correct use of scanners. Establishing a continuous improvement loop—where frontline feedback is quickly incorporated into SOPs—shrinks the gap between expected and actual performance. Incentive schemes tied to pick accuracy and first‑time perfect shipments improve long‑term compliance.
Measuring success: KPIs and targets
Practical KPI targets for Belgian operations aiming for best practice:
- Order accuracy: >99% for single‑item picks, >98% for multi‑line orders.
- Pick cycle time: Reduce by 10–30% after scanning and SOP harmonization.
- Cost per corrected shipment: Target a 25–50% reduction within 6–12 months following improvements.
Industry experience suggests mature operations aim for order accuracy above 99%, while many facilities operate with error rates between 0.5% and 2% prior to process improvements. Achieving barcode coverage and staff competence is consistently the fastest route to reducing re‑shipments and dispute costs.
Regulatory and cross‑border implications for Belgian shippers
Belgium’s role as a European logistics hub makes compliance and documentation accuracy vital. Inaccurate packing lists or mislabelled pallets can delay shipments at EU internal checkpoints, complicate VAT reconciliation, and increase courier or carrier demurrage fees. Aligning WMS documentation with carrier EDI and Customs data reduces clearance friction and avoids last‑mile delays.
How GetTransport helps carriers and shippers under these conditions
GetTransport provides a flexible digital marketplace that enables carriers and small fleets to select the most profitable orders, minimizing dependence on large corporate contractual constraints. The platform’s features—verified freight requests, transparent booking, and route optimization—help carriers influence revenue by choosing loads that match capacity and preferred lanes. For shippers, GetTransport integrates shipment selection with live carrier availability, reducing time to book and allowing rapid reallocation when a fulfillment correction is needed. Combined with telematics and API integrations, the marketplace supports dynamic pricing, reduces empty miles, and shortens recovery windows after a mis‑pick or manifest error.
Quick implementation checklist for Belgian operations
- Audit labels and scanning coverage within 30 days.
- Deploy handheld scanners and update WMS rules within 60 days.
- Standardize SOPs and run pilot on one line before full roll‑out.
- Establish daily KPI review and corrective action cadence.
Highlights: Consistent barcode scanning, standardized SOPs, and ongoing training are the highest‑impact levers for lowering fulfillment errors. Automation reduces manual checks and shortens the resolution cycle for incorrect shipments. However, even with excellent reviews of systems and processes, nothing replaces direct operational experience; teams should pilot changes and iterate based on real shift performance.
