Handling Missed Deliveries and Rescheduling Options
2026/3/6 · 2117 views
When a last-mile delivery attempt fails, operational costs rise immediately due to extra handling, return-to-depot moves and rebooking; carriers must manage the impact on driver hours, vehicle utilization and service-level metrics such as first-time delivery rate and on-time delivery.
Immediate operational steps after a missed delivery
Carriers and shippers should follow a clear protocol the moment a delivery is not completed. Typical actions include notifying the consignee, updating the shipment status in the transport management system (TMS), and offering alternative fulfillment options. Timely communication preserves customer satisfaction and reduces unnecessary return transports.
Common alternatives offered to recipients
- Redelivery — rescheduling delivery to a later date or time window at the same address.
- Depot or locker pickup — authorizing the consignee to collect the parcel from a local depot, parcel locker or partner retail point.
- Delivery to an authorized neighbor or third party — leaving the shipment with a named individual who has provided explicit consent or a pre-registered authorization.
- Return to sender — when the consignee declines redelivery or fails to collect within the holding period.
Step-by-step rescheduling workflow for carriers
- Record the failed attempt with location, timestamp and driver notes in the POD system.
- Trigger an automated notification to the consignee via SMS, email, or app push.
- Provide a simple UI for recipients to choose redelivery, pickup or neighbor delivery.
- Confirm the chosen option and update the TMS and route plan accordingly.
- Log any additional fees or changes to expected delivery windows.
Legal and liability considerations
Authorization mechanisms matter: when consignments are left with a neighbor or placed in a communal area, carriers should rely on recorded recipient consent and photographic evidence where allowed. Proof-of-delivery (POD) must capture the new consignee’s name, relationship to the address, or locker ID. Clear terms of carriage and published policies on redelivery fees and holding periods reduce disputes between shippers, carriers and consignees.
Best practices for proof and authorization
- Require explicit consent via the carrier app or a signed paper acknowledgment for third-party pickups.
- Capture a timestamped photo at the delivery point for contactless or neighbor handovers.
- Keep a retrievable audit trail in the TMS for at least the carrier’s statutory retention period.
Cost and service impacts: comparative view
| Option | Operational impact | Typical cost outcome | Customer convenience |
|---|---|---|---|
| Redelivery | Requires route re-planning; extra driver hours | May incur modest surcharge or be free depending on SLA | High — preserves doorstep delivery expectation |
| Depot / Locker pickup | Reduces last-mile stops; quick handover | Often lower cost for carrier; sometimes free for recipient | Medium — requires recipient travel |
| Neighbor delivery | Minimal detour if nearby; requires authorization | Low cost; less operational disturbance | High if neighbor available and authorized |
| Return to sender | Increases reverse logistics workload | High due to return transport and processing | Low — delays refund or replacement |
Technology enablers for reducing missed deliveries
Real-time tracking, dynamic ETAs and customer-facing portals reduce missed attempts by allowing recipients to adjust delivery windows or divert consignments to parcel shops. Integration of delivery preferences into the order flow—such as authorized neighbors or secure locker choices—helps carriers increase the first-time delivery rate and lower overall haulage and labor costs.
How carriers can operationalize alternative delivery options
Implementing these alternatives requires coordinated changes to routing algorithms, driver instructions, and customer communications. Carriers should update standard operating procedures (SOPs) to include neighbor authorization templates, locker integration APIs, and explicit billing codes for reattempts and pickups to ensure accurate bookkeeping and SLA compliance.
Checklist for carrier operations teams
- Integrate POD/photo capture into driver apps.
- Expose redelivery and pickup options in customer notifications.
- Provide clear fee schedules and holding timeframes to recipients.
- Train drivers on safe neighbor handover and documentation.
- Monitor KPIs: first-time delivery, failed-attempt rate, and average redelivery cost.
How GetTransport can help carriers adapt
GetTransport acts as a global marketplace that connects carriers with a broad range of shipments and offers tools for flexible order selection and route optimization. By listing capacity and receiving verified requests, carriers can prioritize profitable loads, reduce empty miles and compensate for revenue lost to failed deliveries. The platform’s digital workflows and order management features help carriers automate the offering of redelivery, depot pickup and alternative consignee options, minimizing administrative overhead while improving utilization and earnings.
Benefits of marketplace integration
- Access to diverse cargo requests to fill capacity created by missed local deliveries.
- Transparent freight conditions so carriers can select lanes that match equipment and timing.
- Reduced dependence on single large accounts by enabling flexible order sourcing.
- Modern technology for quoting, document exchange and real-time updates.
Highlighting operational gains: centralized order intake and digital rescheduling reduce manual phone calls and paperwork, while data-driven matching improves margin management. Carriers that use marketplace platforms can often offset the costs of redelivery and returns by selecting the most profitable subsequent loads.
Practical advice for shippers and receivers
Shippers should pre-authorize acceptable alternative delivery methods at checkout—choices such as leaving with a neighbor, selecting a pickup point, or enabling a specific delivery window. Receivers should use carrier portals to update availability, avoid repeated missed attempts, and minimize redelivery fees. Clear labeling and accurate contact details reduce the probability of failed deliveries.
Quick recipient actions after a missed attempt
- Check carrier message for a reattempt window and confirm availability.
- Choose depot pickup if immediate receipt is required.
- Use the carrier’s app to authorize a trusted neighbor or provide a secure location note.
