Essential Carrier KPIs to Track in Poland
31.03.2026 · 1203 views
On-time delivery rates below 95% in Poland correlate with higher penalty incidence and lower contract retention among shippers, making punctuality the primary operational KPI for most carriers.
Core KPIs every Polish carrier should measure
Carriers operating in Poland should monitor a compact set of KPIs that together define operational efficiency, cost control, and customer satisfaction. Key indicators include:
- On-time Delivery (OTD) — percentage of shipments delivered within the agreed delivery window.
- Fuel Consumption per 100 km — litres or cost per distance unit to measure fuel efficiency.
- Load Utilization (Load Factor) — percentage of vehicle capacity used per trip, by volume or weight.
- Empty Running Rate — share of kilometers driven without revenue cargo.
- Cost per Ton-Kilometer (CTK) — aggregated operating cost normalized to ton-km.
- Accident and Incident Rate — number of accidents or safety incidents per million kilometers.
- Claims per 1,000 Shipments — frequency of damage/loss claims relative to shipment volume.
Why these KPIs matter for logistics performance
Each KPI connects directly to financial or contractual risk. OTD influences service-level agreements and can trigger fines or price renegotiation. Fuel consumption and CTK drive margin; small improvements compound quickly at scale. Load utilization and empty running determine vehicle productivity and greenhouse gas intensity per shipment—metrics increasingly tied to customer selection and procurement scoring.
Practical benchmarks and measurement methods
Benchmarks depend on trade lane, load type, and fleet composition. Use the table below as a practical starting point for typical full truckload (FTL) regional operations in Poland.
| KPI | Typical Benchmark | How to Measure |
|---|---|---|
| On-time Delivery | 95%+ | GPS + TMS timestamp vs agreed delivery window |
| Fuel Consumption /100 km | 25–35 L (haulage dependent) | Fuel card data + telematics distance |
| Load Utilization | 75–90% | TMS load planning / vehicle sensors |
| Empty Running Rate | <20% | GPS trip analysis (revenue vs non-revenue km) |
| Cost per Ton-Km | Variable by lane; monitor trends | Accounting costs / reported ton-km |
Measurement frequency and data sources
KPIs should be calculated at different cadences: daily for OTD and fuel burn anomalies, weekly for route-optimization metrics, and monthly or quarterly for cost and safety trend analysis. Reliable data sources include telematics, fuel-card transactions, Electronic Proof of Delivery (ePOD), and the carrier’s TMS or ERP.
Improvement levers and operational actions
Carriers can influence most KPIs through targeted operational changes:
- Reduce variability in pickup and delivery windows to improve OTD by aligning staffing and loading dock schedules.
- Implement driver coaching and eco-driving programs to lower fuel consumption and emissions.
- Shift to dynamic route planning and backhaul matching to cut empty running and increase load utilization.
- Apply predictive maintenance via telematics to reduce breakdowns and lower the incident rate.
- Standardize claims handling and packaging checks to reduce claims per 1,000 shipments.
Technology stack that supports KPI improvement
Key tools that enable measurement and improvement:
- TMS (Transport Management System) for planning, cost allocation, and performance dashboards.
- Telematics for real-time location, fuel, and driver behaviour monitoring.
- ePOD and mobile apps for instant proof of delivery and automated OTD recording.
- Analytics and BI layers to correlate KPIs with financial outcomes.
Sample KPI dashboard metrics to track weekly
A condensed weekly dashboard should include: OTD percentage, average fuel consumption, empty km share, average load percentage, number of claims, and cost per ton-km. Use thresholds to trigger automated alerts when a metric drifts beyond acceptable limits.
Regulatory and commercial considerations in Poland
Polish carriers must ensure that KPI-driven operational changes comply with national and EU regulations on driving time, vehicle inspections, and environmental reporting. Commercially, shippers increasingly prefer partners who can present consistent KPI documentation during procurement rounds; transparency in metrics becomes a differentiator in awarding contracts.
Optional statistics and context
Road transport continues to dominate inland freight across the EU, handling roughly 70% of inland freight by tonne-kilometres; this places road carriers at the center of cross-border distribution and highlights why incremental KPI improvements scale into significant competitive advantage for Polish firms serving pan-European lanes.
How GetTransport supports carriers under these KPI pressures
GetTransport offers a global marketplace that helps carriers convert operational performance into revenue opportunities. By providing real-time access to demand across lanes and a transparent bidding environment, the platform enables carriers to select loads that match capacity and routing, reducing empty running and improving load utilization. Integrated digital tools on the platform also help carriers document OTD and incident metrics, reinforcing commercial credibility with shippers.
GetTransport’s technology gives smaller fleets the ability to compete on the basis of measured performance rather than scale alone. Flexible order selection and visibility into freight requests allow drivers and fleet managers to stabilise utilization and influence income directly, minimising dependence on single large customers' policies.
Highlights: accurate KPI tracking improves profitability, data transparency wins contracts, and technology reduces empty miles and fuel costs. Even the best reviews and the most honest feedback can’t truly replace firsthand experience; on GetTransport.com, carriers and shippers can book their cargo transportation at competitive rates and assess partners by verified performance metrics. This empowers users to make informed decisions without unnecessary expenses or disappointments.
