How to Build an RFQ Template That Gets Accurate Carrier Quotes

Two-decade evolution of RFQs in logistics
Over the past 10–20 years, RFQs evolved from simple phone or fax inquiries into structured digital forms integrated with transport management systems. Early RFQs often lacked standard fields and relied on manual follow-ups; as e-commerce and global trade expanded, industry players added requirements such as commodity codes, palletization standards, and digital photos to reduce ambiguity. The proliferation of containerized shipping and intermodal services also drove the need for more precise shipment specifications to avoid costly adjustments later in the supply chain.
How the situation is evolving today and the carrier impact
Today, carriers expect complete, machine-readable RFQs that include dimensions, weight, pickup/delivery windows, and any special handling. Improved RFQ clarity reduces quote rework, cancellations, and dispute volumes. For freight carriers, this translates directly into operational efficiency: fewer wasted bids, more accurate route planning, and better capacity utilization. Consequently, carriers able to rely on high-quality RFQs can optimize pricing strategies, increase hit rates on profitable loads, and ultimately improve their revenue per haul.
Why precise RFQs affect freight carriers' income
Accurate RFQ data enables carriers to:
- Estimate costs more precisely (fuel, tolls, handling).
- Match assets to shipments (container size, tail lift, chassis).
- Reduce claims and penalties due to mismatches at pickup or delivery.
- Improve scheduling and minimize empty miles.
Key RFQ fields that determine quote accuracy
At minimum, an RFQ should capture all the information a carrier needs to price and commit to a shipment without extensive follow-up.
Core shipment specification table
| RFQ Field | What carrier needs | Impact on quote accuracy |
|---|---|---|
| Contact name & phone | Operational and billing contact for pickup/delivery | Reduces no-shows and missed instructions |
| Pickup / delivery address & access notes | Exact locations, gates, working hours, weight limits | Affects routing, driver time, and chassis requirements |
| Ready / ETA windows | Pickup and delivery timeframes | Determines scheduling feasibility and detention risk |
| Commodity description and HS code | Nature of goods, regulatory considerations | Influences handling, customs, and insurance |
| Weight (per piece & total) | Gross and net weights | Critical for load planning and route permits |
| Dimensions and stackability | Length, width, height, and whether goods stack | Determines container or trailer selection |
| Packaging type & pallet count | Boxes, drums, pallets, crates, or loose | Direct effect on loading time and cost |
| Special equipment or services | Temperature control, tail lift, escort, oversized | Defines surcharges and asset allocation |
| Incoterms & payment terms | Responsibility for freight, insurance, duties | Affects pricing and liability |
Checklist: must-have RFQ items
- Contact and operational windows
- Complete weights and dimensions
- Exact pickup and delivery addresses
- Packing photos or diagrams
- Permits and special handling notes
- Desired transport mode and equipment
Handling special scenarios and bulky cargo
For oversized, hazardous, or temperature-controlled shipments, include permits, MSDS, and target temperatures in the RFQ. For bulky goods or vehicles, add loading/unloading capabilities and clear dimensional drawings. These details influence whether a carrier can accept the job and at what price.
RFQ fields specific to container shipments
- Container type (20ft/40ft, open-top, refrigerated)
- Container pickup/drop-off restrictions
- Container stuffing/unstuffing instructions
Operational benefits of a standardized RFQ template
Standardization reduces quoting cycles, lowers administrative costs, and improves transparency across shippers, forwarders, and carriers. When platforms and trading partners accept a common RFQ structure, carriers can integrate automated pricing engines and reduce manual checks, freeing capacity for higher-margin loads.
Industry indicators and figures
Recent industry analyses indicate that a significant share of quote revisions results from incomplete shipment descriptions. Carriers and shippers that adopt structured RFQs typically report faster quote turnaround and fewer post-booking adjustments, which in practice can lead to measurable time and cost savings across the logistics chain.
How a global marketplace can help carriers respond
A modern marketplace links standardized RFQ templates with carrier selection, capacity visibility, and dynamic pricing. Platforms that combine clear RFQ forms with flexible search filters empower carriers to select the most profitable orders, reducing dependence on large buyers' ad hoc requirements. By exposing a wide variety of loads—including office and home moves, parcel and pallet freight, bulky items like furniture and vehicles—such marketplaces increase carriers' ability to optimize routes, reduce empty running, and diversify revenue streams.
Practical platform features that benefit carriers
- Customizable RFQ templates to capture required fields
- Photo attachments and document uploads for immediate clarity
- Automated matching to available equipment (containers, trailers)
- Transparent booking terms and digital confirmations
